How DeSoto County Schools Simplified Transportation Payroll Operations
Largest District in Mississippi turns to Bytecurve to Retire Antiquated, Cumbersome Payroll Processes
“We had been operating with paper and pencil for the longest. It worked for us, but we knew we had to come into the 21st century.”
– Levi Williams, Transportation Director, DeSoto County, Mississippi
For school transportation teams, getting students safely to and from school is only part of the job. Behind every route is a complex operation involving drivers, aides, dispatchers, buses, schedules, timekeeping, payroll rules, and constant changes throughout the day.
The webinar featured Jonathan Agenten, Director of Sales at Bytecurve/busHive by Transit Technologies; Levi Williams, Director of Transportation at DeSoto County Schools; and Conerly Burrell, Payroll Specialist at DeSoto County Schools.
In the webinar, DeSoto County Schools in Mississippi shared how moving from paper-based timekeeping to ByteCurve helped simplify transportation payroll, improve visibility, and give its team more time to focus on daily operations.
The challenge: a payroll process built on paper
DeSoto County Schools is the largest school district in Mississippi, with a transportation operation supporting hundreds of drivers and staff members. For years, the department relied on handwritten timesheets. Drivers had to deliver their paperwork to the bus shop, and payroll staff had to track down missing forms, interpret handwriting, and review every sheet manually.
That process created delays, especially in a large county where drivers could spend significant time traveling to turn in paperwork. Payroll staff often started one or two days late and then spent several days reviewing individual time entries, determining which routes had been worked, and applying the correct pay rules.
The process was also difficult to manage as transportation needs changed. Drivers may perform regular routes, activity trips, field trips, training, meetings, standby work, or other assignments, each with its own task and pay requirements. Managing those details manually made it harder to ensure accurate and timely pay.
A finance-led move to modernize payroll
The move to ByteCurve began with a recommendation from DeSoto County Schools’ finance department. The district had been working with Zonar on telematics and was looking for a transportation payroll solution that could better support its existing operations.
After evaluating its options, the district selected ByteCurve because it could connect transportation work, timekeeping, and payroll in a way that matched the department’s specific needs.
The implementation was a collaborative process. DeSoto County’s transportation team worked closely with ByteCurve’s implementation group to configure the system around the district’s unique operating practices. The team also introduced the technology in phases to help drivers adjust and build confidence.
While some employees were initially hesitant to change, adoption improved as drivers saw the benefits for themselves. Once the transition was complete, the team said drivers no longer wanted to return to paper timesheets.
From manual review to exception-based payroll
One of the biggest improvements has been the time required to complete payroll. Instead of reviewing every handwritten timesheet, the payroll team can verify clock-ins and clock-outs electronically and focus on exceptions that require attention.
What previously took several days can now be completed in about one day. That time savings allows payroll staff to handle other responsibilities while reducing the burden of chasing down missing or unclear information.
ByteCurve also stores the district’s route and pay rules in the system. Payroll staff no longer have to remember which rules apply to each route or assignment. Employees clock into the work they are performing, and the appropriate task codes and pay rules are applied within the system.
The district has also been able to reallocate staff time. Rather than dedicating two payroll clerks solely to the transportation payroll process, one employee now manages payroll while supporting other transportation department responsibilities.
Better visibility for dispatchers and drivers
The benefits extend beyond payroll. Dispatchers can use the system to quickly identify when a driver is absent, select a substitute from the available list, and assign that driver to the route. This gives the department a centralized view of route assignments and helps reduce the administrative work involved in covering daily absences.
“The DriveOn app has been a lifesaver for me and for everybody else.”
— Levi Williams
“We don’t have to remember the routes or what we pay for that particular route anymore. It’s already in the computer.”
— Conerly Burrell
Drivers and aides can clock in and out using tablets on the bus or the DriveOn mobile app. The app has been particularly useful because employees can clock in from their phones, confirm their time, and check whether they remembered to clock out. Updates appear quickly for dispatch and payroll staff, creating greater visibility across the operation.
The built-in messaging tools also help the department communicate with individual drivers, selected groups, or the entire staff. Payroll and transportation administrators can send reminders, request follow-up, and receive read receipts, reducing uncertainty about whether an important message was received.
More accurate pay and greater accountability
For DeSoto County Schools, the move to digital timekeeping has made it easier to connect employees with the work they actually perform. Whether a driver is completing a regular route, an extra assignment, or another type of transportation task, the system provides a consistent way to record that work.
“ByteCurve has revolutionized everything that we’ve done with payroll so far.”
— Levi Williams, Director of Transportation, DeSoto County Schools
“If I compare the paper, now it takes me maybe a day to do payroll. It used to take me several days.”
— Conerly Burrell, Payroll Specialist, DeSoto County Schools
The district also gains a clearer record of changes. When assignments are updated or additional work is added, the system records the change and provides a time-stamped reference for payroll and administrative review.
That visibility supports more accurate paychecks, stronger accountability, and greater confidence among drivers, aides, dispatchers, and payroll staff. The district estimated that it saves at least $20,000 to $25,000 per year in staff time alone by reducing the manual work associated with collecting and reviewing timesheets.
A more connected transportation operation
The DeSoto County story demonstrates that transportation payroll is not an isolated administrative function. It is connected to routes, drivers, buses, dispatch, telematics, and the daily work required to keep students moving safely.
By bringing those pieces together, the district has replaced a paper-heavy process with a more connected, flexible, and exception-based workflow. The result is less time spent deciphering forms and correcting administrative issues, and more time available for supporting the transportation operation.
For DeSoto County Schools, modernizing payroll was not simply a technology upgrade. It was a practical step toward improving efficiency, accuracy, communication, and morale across the department.
